Privacy Policy

This policy explains what 911LOADS collects, why we need it, how it is protected, and the choices available to drivers, carriers, customers, and website visitors.

Effective and last updated: September 13, 2026

1. Scope

This Privacy Policy applies to the 911LOADS website, driver portal, carrier onboarding, back-office CRM, document workflows, training records, and related support. It does not replace a separate written agreement that may apply to a carrier, broker, shipper, customer, employee, or contractor relationship.

2. Information we collect

Account and sign-in information

When you choose Google sign-in, Google and Auth0 confirm your identity. We receive and store your provider account identifier, name, verified email address, optional profile picture, the limited permission scopes granted, and sign-in timestamps. We do not request or receive your Google password, Gmail messages, contacts, calendar, or Google Drive files.

Carrier and business information

We may collect contact information, company name, phone number, relationship or freight-network role, website, service area, stated use case, USDOT or MC number, fleet size, equipment, base location, lanes, experience, application stage, readiness status, and communications needed for onboarding, pilot access, or operations.

Driver, compliance, and freight documents

You may upload documents such as a CDL, medical card, insurance certificate, W-9, rate confirmation, inspection, bill of lading, or proof of delivery. These files may contain sensitive identity, health-qualification, tax, financial, safety, cargo, location, or transaction information. Upload only documents you are authorized to provide.

Training, operations, and security information

We store your trip estimates, truck planning dimensions, fuel inputs and reminder records for your account. When you opt in to broker listings, approved brokers can see your company, equipment, city/state availability and commercial acceptance requirements. Your internal cost-per-mile, dispatch-fee and target-profit settings are excluded from those listings. Offers and commercial decisions are recorded for dispatch review.

Ratings use business identities and dispatch-verified completed-load relationships. Published scores, review counts, comments and approved company responses are visible to signed-in participants. Company blocks and acceptance rules are private account preferences. Community road reports share the road, direction, optional coordinates, time and conditions you submit, without publishing your account identity. Do not include personal contact, financial-account or other sensitive information in reports or reviews.

We record training acknowledgments, load and workflow activity, review status, document classifications, audit events, and limited technical information used to protect the service, such as security-event timestamps, request rate-limit identifiers, and session information. Security identifiers are hashed where practical.

Schedules, qualifications, equipment, and precise location

Drivers may provide facility stops, appointment and expected times, detention information, CDL details, TWIC and Hazmat status, endorsements, equipment identifiers and capabilities, and inspection records. Precise device location is collected after the driver chooses live sharing for a specific active stop, or shares a one-time location in Breakdown Assist, and grants browser or device permission. Sharing can be stopped by the driver, stops automatically on departure or expiration, and is not used for unrelated continuous surveillance.

Breakdown Assist and roadside providers

Roadside profiles store program identifiers and coverage information, never provider passwords. A breakdown record includes the truck, selected load stop, incident details, repair costs and evidence. With your consent, dispatch and your assigned verified provider can see incident location, contact and equipment details. Program account identifiers remain available to you and dispatch. The optional current-location ZIP lookup sends coordinates and your IP address directly from your browser to BigDataCloud. Manual ZIP entry remains available. Incident location stays with the repair record under the retention policy below; it is not a live tracking subscription. Provider business contact details, service areas, capabilities and reviewed ratings are shown to signed-in participants after listing consent and verification.

Facility directory and dock information

We may collect business contact and location facts, hours, appointment methods, parking and restroom availability, typical wait and free-time information, dock readiness, door assignments, and driver instructions from authorized facility contacts, drivers, direct outreach, and lawfully available public business sources. We record source and verification status where appropriate.

3. How we use information

  • Authenticate users and maintain secure sessions.
  • Process carrier applications and maintain CRM relationships.
  • Receive, classify, quarantine, review, and route documents.
  • Track training, readiness, compliance evidence, dispatch, and support.
  • Coordinate expected arrivals, permission-based active-stop location, dock readiness, and detention records.
  • Match loads to verified driver qualifications, equipment capabilities, and current inspection status.
  • Detect fraud, abuse, malware, account compromise, and security incidents.
  • Meet contractual, tax, safety, legal, recordkeeping, and dispute obligations.
  • Improve reliability and communicate about accounts or services.

4. Automated tools and human review

Automated tools may help classify documents, extract fields, compare records, detect malware, identify missing or expired items, and flag possible mismatches. These tools support the workflow; they do not make the final legal, safety, employment, qualification, or Ready-to-Dispatch decision. Authorized people review material decisions and exceptions.

5. How information is shared

We do not sell personal information. We may disclose information only as reasonably necessary to:

  • Authorized 911LOADS personnel and business partners supporting an approved freight or onboarding workflow.
  • An authorized shipper or receiver using a random, expiring, revocable stop link. That view is limited to the relevant arrival, a fresh location only while the driver is actively sharing, and dock-coordination fields.
  • Service providers that host the site, store records, authenticate users, monitor security, or process documents under their applicable agreements and safeguards.
  • A private malware-scanning provider when that connection is enabled. If no conclusive result is available, the file remains quarantined.
  • Government authorities, courts, insurers, auditors, or other parties when required by law or reasonably necessary to protect rights, safety, cargo, systems, or users.
  • A successor in a merger, financing, reorganization, or sale, subject to appropriate confidentiality and notice requirements.

6. Cookies and sessions

We use strictly necessary cookies to protect the Google/Auth0 sign-in transaction and keep an authenticated portal session. Session cookies are marked Secure and HttpOnly and are not used for cross-site advertising. We may use short-lived anti-forgery and rate-limit controls to protect forms and APIs.

7. Retention and deletion

We keep personal information only as long as reasonably needed for the purposes above, an active account or relationship, security, and applicable legal or contractual requirements. Freight, tax, payment, insurance, safety, fraud-prevention, audit, or dispute records may need to be retained after an account request. When retention is no longer required, information is deleted or de-identified.

Live tracking keeps the latest reported position for a stop rather than a continuous route history. A position is hidden after ten minutes without an update. Stopping sharing or closing a stop deletes its stored positions. Account suspension, signing out all devices, or requesting account deletion also closes shared tracking links and removes stored positions. Sharing expires after twelve hours; expired positions are hidden immediately and removed during subsequent location or schedule activity. Schedule and detention summaries may remain with the freight record.

A verified portal user can submit a request on our Data Deletion page. The request disables the local portal account and revokes active sessions while an authorized reviewer confirms identity, required retention, and provider cleanup. Approved completion removes portal identity data, sessions, schedules, shared locations, driver qualifications, equipment and inspection records, training records, uploaded files, and direct contact fields covered by the request. A minimal de-identified record of the request may remain. People who submitted only a public business-interest or facility form may email the address below because they do not yet have a portal identity.

8. Security

We use encrypted transport, private object storage, least-privilege access, server-side authorization, secure session cookies, request validation, rate limiting, random hashed tracking tokens, short expirations, file signature and size validation, quarantine, malware-scan gates, audit events, and administrative review. Exact location is not placed in the public facility directory. No system can guarantee absolute security. Do not send documents by ordinary email unless support specifically instructs you to do so.

9. Your choices and rights

Depending on where you live, you may have rights to know, access, correct, delete, restrict, or obtain a copy of personal information, and to appeal certain decisions. We will not unlawfully discriminate against you for exercising a privacy right. Submit a verified deletion request online or email 911loadz@gmail.com for another privacy request.

10. Children and geographic use

The service is for adults and commercial transportation participants. It is not directed to children under 18, and we do not knowingly collect their personal information. The service is operated from the United States, and information may be processed in the United States.

11. Changes and contact

We may update this policy as the service, providers, or law changes. The date above identifies the current version. Material changes will be posted here or communicated through an appropriate account channel. Contact 911LOADS at 911loadz@gmail.com.
